View, Filter, and Sort the Expenses List
This screen allows the mobile app user to view all expense records in one place, with the ability to search, filter, and sort by multiple criteria, in addition to performing quick actions on each individual expense.
Before You Begin
- The user must have the “View All Expenses” or “View His Own (Created) Expenses” permission, depending on the required scope.
Steps to View the Expenses List
- From the bottom navigation bar, tap the “Expenses” tab.
- All expense records will appear on the screen, sorted chronologically (most recent first).
Actions on the Expenses List
- Add a new expense:
- From the top of the Expenses screen, tap the “+” button to add a new expense.
- More options:
- Tap the “⋮” icon to open the following additional quick-action list:
- Sort: sort by (Recently Created, Expense Date, Amount, Treasury, Category), then tap “Apply.”
- Sync All: immediately triggers synchronization of expense data with the system.
- Open in Browser: opens the expenses list in the full web version via the device browser, not the mobile interface.
- Finance Settings: opens the Finance Settings screen in the full web version via the device browser.
- Tap the “⋮” icon to open the following additional quick-action list:
- Filter by:
- Tap the “Filter” icon (funnel shape) to open the expense filtering options.
- Filter by (Transaction Date, Category, Treasury, Creation Date, Supplier, Journal Account), then tap “Apply.”
Searching the Expenses List
A search icon appears at the top of the list, and the available search fields are:
- Expense No.
- Category
- Treasury
Expenses List Display
The screen displays all expenses as cards, which you can browse by scrolling up and down, and includes the following data:
- Expense Number: displays the expense’s identification number.
- Total Amount: displays the expense’s total value.
- Treasury: displays the treasury’s name.
- Date & Time: displays the expense’s date and time.
- Supplier: displays the name of the supplier linked to the expense (if available).
- VAT: displays the VAT amount (if available).
- Sales Tax: displays the sales tax amount (if available).
- Category: displays the expense’s category (if available).
Actions Specific to Each Expense Card:
- View: a direct shortcut to open the expense details in view-only mode.
- Print: a direct shortcut to print the expense without going through the “More” menu.
- Sync Status (green cloud with a checkmark ✓): indicates that the expense’s data has been synced with the system.
- More menu (…): when tapped, opens a bottom sheet titled “Expense #[Number]” containing the following actions:
- View: opens the expense details in view-only mode.
- Edit: opens the screen to edit the expense’s data.
- Print: to print the expense.
- Clone: to create an identical copy of the expense.
- Open in Browser: opens the expense in the full web version via the device browser.
- Hide from Mobile App: hides the expense from the mobile app’s view list without actually deleting it from the system.
- Delete: permanently deletes the expense from the system.
How the System Works
- The Supplier, VAT, Sales Tax, and Category elements only appear when their data is available for the expense, not as fixed fields for every expense.
- Any of the quick actions can be performed directly on any expense while scrolling through the list, without needing to navigate to a single expense’s screen first.
- Both the “Open in Browser” and “Finance Settings” options (whether from the “More Options” menu at the top of the screen, or from the “More” menu of a specific expense) open the full web version only via the device browser, not any dedicated mobile interface.
- The “Hide from Mobile App” action does not permanently delete the expense from the system; it only hides it from the mobile app’s display. The “Delete” action, on the other hand, permanently and completely deletes the expense from the system.
- The “Clone” action creates a new expense identical to the original, without affecting the original expense itself.
Validation Rules
- If no filter or search matches any results, the screen displays empty, showing only a message indicating that no expenses were found, along with a prompt to reset the search or add new expenses.
