View the Item Sales Report by Item
Steps to View the Report
- Click on the “Reports” menu.
- Click “Sales Reports“.
- From the “Sales Reports” page select “Item Sales by Item“.
- You can apply several filters before displaying the report:
- Item: Filter the results to include a specific item or a selected group of items only. You can search by item, name, or product code.
- If no item is selected, the system will display the report for all items.
- Invoice: Filter the result based on the document type. Available types include: Invoice, Returned invoice, Debit note, Credit note.
- If no type is selected, the system will display the report for all document types.
- Invoice Status: Filter the results based on the invoice status
- If no status is selected, the system will display the report for all statuses.
- Category: Filter the result based on the item category.
- If no category is selected, the system will display the report for all categories.
- Warehouse: Filter the results to include items from a specific warehouse only.
- If no warehouse is selected, the system will display the report for all warehouses.
- Show Draft Items: Enable this feature to include items from draft invoices in the report results.
- Brand: Filter the results based on the item brand. You can search by name.
- If no brand is selected, the system will display the report for all brands.
- Client: Filter the results to include sales for a specific client only. You can search by name, email, or phone number.
- If no client is selected, the system will display the report for all clients.
- Client Category: Filter the result based on the client category.
- If no category is selected, the system will display the report for all client categories.
- Employee: Select one or more employees to display items associated with the invoices they created. You can search by name, code, email, department, branch, or country.
- If no employee is selected, the system will display the report for all employees.
- Date Range: Specify the time period for which you want to analyze item sales.
- Last Week: The previous seven days.
- Last Month: The previous thirty days.
- Month to Date: From the beginning of the current month until today.
- Last Year: The previous twelve months.
- Year to Date: From the beginning of the current year until today.
- Custom: Click this option and manually select the start and end dates in the adjacent fields.
- Currency: Select the currency in which you want to display the results. Available options include:
- All (in SAR): Displays all sales converted into Saudi Riyal.
- All (each currency separately): Displays sales grouped by the original currency of each invoice.
- Order Source: Filter the results based on the platform or sales channel from which the orders originated.
- If no source is selected, the system will display the report for all sources.
- Branch: Select one or more branches to display their sales only.
- If no branch is selected, the system will display the report for all branches.
- Item: Filter the results to include a specific item or a selected group of items only. You can search by item, name, or product code.
- After adjusting the filters, click “Show Report” to update the results.
- You can change how the report data is grouped by clicking the grouping button above the table. Available grouping options are:
Daily, Weekly, Monthly, Yearly, Item, Category, Client, Brand, Employee, Sales Representative. - You can switch between “Summary” view to display totals for each item only, or “Details” view to display the data of each invoice individually.
- You can hide specific columns from the table by clicking “Settings”, selecting the columns you want to hide, and then clicking “Save Settings.”
- You can print the report using “Print”, or export it using “Export Options” to:
- CSV
- Excel
- PDF without chart
Report Columns
The table displays item sales data grouped according to the selected grouping method (item, category, client, etc.). When Details view is selected, each invoice appears individually within its group. The columns are distributed as follows:
- ID: The unique identifier of the item in the system.
- Name: The name of the item or product as registered in the system.
- Description: A brief description of the item, if entered in the system.
- Product Code: The identification code used for the item in the system.
- Date: The date the invoice associated with this item was issued.
- Employee: The name of the employee who created the invoice along with their system ID.
- Invoice: The invoice or document number (Invoice, Returned Invoice, Debit Note, Credit Note) with a direct link to view its details.
- Client: The name of the client associated with the invoice, with a link to view their profile in the system.
- Unit Price: The price at which one unit of the item was sold to the client.
- Quantity: The number of units sold or returned. Values appear negative and highlighted in the case of returned invoices or losses, and in a different highlight color in case of profit.
- Discount: The discount value applied to this item in the invoice. It appears negative in returned invoices.
- Taxes: The tax value calculated for this item. It appears negative in returned invoices.
- Total: The net value of the item after applying discounts and taxes. It appears negative and highlighted in cases of loss or returned invoices.
At the bottom of each item group, a subtotal row appears showing the total quantities, discounts, taxes, and totals for that group. At the bottom of the table, a grand total row appears summarizing the data for all items across the entire selected time period.
