Inventory Aging Report

The Inventory Aging Report allows you to track quantities that have been sitting in stock for an extended period without any sale activity, and see how these quantities are distributed across warehouses.

Before You Begin

  • You must have the “Track Inventory” and “View His Own Reports” permissions to access this report.

Steps to View the Inventory Aging Report

  1. From the main menu, click “Reports.”
  2. Click “Store Reports.”
  3. Then click on the “Inventory Aging” report.
  4. Set the required filter criteria:
    • Search: you can search by product name or code.
    • Warehouse: displays the list of warehouses defined in the system.
    • To Date: select a specific date to stop the report’s calculation at, instead of today’s date.
    • Group By: a filter that only appears when the “Branch” app is enabled, allowing you to group the report results by “Products” or “Branch.”
  5. Click the “Show Report” button.

Report Content and Main Columns

  • Code: the product’s code.
  • Name: the product’s name.
  • Warehouse: displays the warehouse each row’s data belongs to. If a product is available in more than one warehouse, it appears as a separate row per warehouse, with each row showing that product’s quantity and aging data specific to that warehouse.
  • Available Quantity: the total available quantity of the product, derived from recorded inventory transactions.
  • 0-30 Days: the sum of available quantity received 30 days ago or less from today’s date.
  • 31-60 Days: the sum of quantity received more than 30 days ago and up to 60 days ago.
  • 61-90 Days: the sum of quantity received more than 60 days ago and up to 90 days ago.
  • 90+ Days: the sum of quantity received more than 90 days ago.
  • Average Age (in days): shows the average age of the product’s available quantity in stock. Calculated using the equation: = Sum of (Quantity × Age in Days) / Total Quantity.
  • Totals: shows the overall average age (in days) across all rows, calculated by dividing the sum of the average age values for all rows by the number of rows.

How the System Works

  • The report title “Inventory Aging Report” appears at the top of the report header every time it is displayed, whether viewed directly, printed, or exported.
  • When a product exists in more than one warehouse, the system splits it into separate rows (one row per warehouse), with the available quantity, average age, and age ranges (0-30, 31-60, etc.) calculated independently for each row based on its warehouse.
  • If the received quantity within any age range is less than the remaining available quantity, that range’s column displays the full received quantity.
  • If the received quantity within any age range is greater than the remaining available quantity, that range’s column displays only the remaining available quantity (not the full received quantity).

Validation Rules

  • The “Group By” filter only appears when the “Branch” app is enabled on the account; when the app is disabled, this filter disappears entirely from the screen.
  • Each row in the report represents a unique Product + Warehouse combination; no product is aggregated into more than one row for the same warehouse.
