Payments report by payment method: View network and cash transactions

This guide explains the payment reports in the System: their types, filters, what they include and exclude, and how to print and export them. It also answers a common question: how do I see all card network (mada / card) transactions?

How do I see all card network (mada) transactions?

Card network transactions are shown by the Payment Method recorded on each payment. So the card network (or mada) must be a payment method added to your account and chosen when you record payments. See Adding the card network as a payment method.

  1. From the main menu, click Reports, then Sales Reports.
  2. In the Payments Segmented Reports section, choose Payments by Method, then click Details to see each transaction, or Summary to see the total for each method.
  3. In Payment Method, choose your card network method (the name you gave it, such as mada).
  4. Set the period in the date field. The default is the last month, and the filter uses the payment date, not the invoice date.
  5. Click View Report.

The result is a list of all card network payments in the period: the invoice number, date, client, transaction Ref No and amount, with the grand total at the bottom.

🛈

Note: To show card network and mada transactions together, or the transactions of a specific treasury or bank account, use the Clients Payments report. It lets you choose more than one payment method and has a Treasury filter.

Available payment reports

In Reports › Sales Reports, you’ll find two groups of payment reports. Each report has two buttons: Details (each payment separately) and Summary (the total of each group).

Section Report Groups payments by
Payments Segmented Reports Payments by Client Each client
Payments by Entered By The employee who created the invoice
Payments by Method Payment method (cash, card network, bank transfer…)
Advance Payments Advance payments from clients
Payments Periodic Reports Daily Payments / Weekly Payments / Monthly Payments / Yearly Payments Day, week, month or year

Under Clients Reports there’s also the Clients Payments report, which has more flexible filters.

🛈

Note: All payment reports accept the Payment Method filter. For example, you can show Daily Payments for the card network only, to reconcile them day by day with the bank POS terminal settlements.

Payments by Method report

Details or Summary?

  • Details: each payment on its own line, grouped under each payment method, with a Subtotal after each method and the grand total at the end.
  • Summary: one line per payment method with its total. Useful for comparing the card network total with cash for a period.

Clients Payments report

Treasury Payments of a specific treasury or bank account (such as the bank linked to the card terminal).

Client The client’s name.
Invoiced By The employee who created the invoice.
Method The payment method.
Ref No The transaction reference number (such as the card transaction number), if it was entered when the payment was recorded.
Total The payment amount. Negative amounts (returns) appear in red.
  • A payments chart appears, plus a Payment Methods pie chart when you group by something other than payment method and more than one method is used.
  • Print prints the report.
  • Export Options: CSV, Excel, PDF, or PDF without the chart.

What is included in the report and what isn’t?

Included Not included
Completed payments only Incomplete, pending review or failed payments
Payments on non-draft invoices, and client payments without an invoice Payments on draft invoices
POS payments Clients’ Opening Balance
Payments on returns and debit notes (returns as negative amounts) Client Credit, unless you choose it in the Payment Method filter
Advance payments (when enabled)

🛈

Note: An employee without permission to view all invoices sees only the payments where they created the invoice or collected the payment. If their figures are lower than expected, check their permissions.

The payments list

A quick alternative to the report: open Payments (under Invoices & Subscriptions), click advanced search, then choose Payment Method = your card network method and set the date.

  • It has filters the report doesn’t: Transaction ID (to find a card transaction by its number), Payment No., amount, status and POS Pos Shift.
  • It shows no total and has no file export. For totals and export, use the report.

Card network transactions in POS

To see the card network transactions of a specific session, open the session from POS, then Session Details:

  • Summary by Payment Methods: for each payment method, the Expected, Counted and Difference amounts, so you can compare the card network amount with the bank terminal settlement.
  • Sales details by Payment Methods: paid, refunded and net for each method.
  • The Client Payment tab shows the payments recorded in the session.

To list all card network payments in a session, open Payments and filter by Pos Shift and Payment Method. For several sessions or a whole period, use Payments by Method; POS payments appear in it like any other payment.

🛈

Note: The Detailed POS Shifts Transactions report splits payments only into cash and non-cash, and doesn’t break out the card network on its own.

Supplier payments

Open Reports › Purchases Reports › Payments Periodic Reports. They have a Payment Method filter to show supplier payments by card network or bank transfer, and they show completed payments only.

Adding the card network as a payment method

“Card network” and “mada” aren’t built-in payment methods in the system, so you add them as custom payment methods:

  1. From the settings, open Payment Methods, then Add Payment Method.
  2. Enter the method’s name (for example: mada), choose the Treasury (the bank account where card payments are deposited), and enter any fees.
  3. Save, then choose this method whenever you record a card payment, and enable it in POS.

🛈

Note: You can’t give the method the name of a reserved system method. If card payments were recorded earlier with the wrong method (such as cash), they won’t appear in the card network filter until you change the payment method on each payment.

FAQ

How do I see today’s total card network (mada) transactions?

Open Daily Payments or Payments by Method (Summary), choose the card network in Payment Method, and set today’s date.

How do I find a card transaction by its reference number?

In Payments, open advanced search › Transaction ID.

Why don’t some card network payments appear in the report?

  • The payment isn’t completed, or it’s on a draft invoice.
  • The payment date is outside the report period (the filter uses the payment date, not the invoice date).
  • The payment was recorded with another payment method.
  • The user doesn’t have permission to view all invoices.
  • The branch or currency filter excludes it.

Does a deduction from the client’s credit appear in the payments report?

No, unless you choose Client Credit in Payment Method, because it isn’t a new collection.

Can I export the report to Excel?

Yes, from Export Options › Excel.
