Delete a Settlement

If a settlement was entered incorrectly on an employee custody, you can delete it and have the remaining balance automatically recalculated. This guide explains how to delete a settlement and the conditions under which deletion is permitted.

Before You Begin

  • You must have the permission to manage settlements in order to perform this action.
  •  A settlement cannot be deleted if the custody status is “Closed” or “Bad Debt.”.

Steps to Delete a Settlement

  1. From the main menu, click Finance.
  2. Select Employee Custody.
  3. Open the required custody from the list.
  4. Navigate to the Settlements tab.
  5. Locate the settlement line you want to delete.
  6. Click the “…” Actions button next to the settlement line and select Delete.
  7. A confirmation message will appear — click “Confirm” to proceed.

The system will then automatically:

  • Delete the settlement line.
  • Recalculate the remaining balance of the custody.

Make sure to review the settlement line carefully before deleting, as this action cannot be undone.

What Happens After Deletion?

Status Reverted: If the deleted settlement line was the reason the custody status changed to “Settled,” the custody status will automatically revert back to “Open.”

Journal Entries Deleted: The journal entries associated with the deleted settlement will be removed.

Settlement Removed from Records: The deleted settlement line will no longer appear in:

  • The custody file linked to it.
  • Employee files.

When Can a Settlement Line Not Be Deleted?

  • f the custody status is “Closed.”
  • If the custody status is “Bad Debt.”
  • If the user does not have the permission to manage settlements.

Once the custody status becomes “Closed” or “Bad Debt,” no settlement lines can be deleted by any user.

Activity Log

All deletion actions are automatically recorded in the custody’s activity log, including the action details, the user who performed it, and the date of deletion.
