Why Do Assets Appear in the General Ledger but Not in the Assets Report?
The Assets Report displays only the assets registered from the Assets Module, and it doesn’t read from the Chart of Accounts. As for the General Ledger, it displays all the entries on the account regardless of their source. So an asset may appear in the general ledger and not appear in the report for one of the following reasons:
1. The Asset Is Registered in the Chart of Accounts Only and Not in the Assets Module
If you created the asset’s account manually in the Chart of Accounts and recorded its value with a journal entry or as an opening balance, it will appear in the general ledger, but it won’t appear in the assets report; because it isn’t registered as an asset in Assets, so no depreciation or current value is calculated for it.
The solution:
- Register the asset from Add Asset in the assets module, with the purchase data and the depreciation method.
- When the asset is saved, the system creates its account and its entry automatically, so delete the previous manual entry or reverse it from Journal Entries, so the asset’s value isn’t duplicated in the accounts.
🛈
Notice: Always register assets from the assets module and not with manual entries on the chart of accounts; since the module is what calculates the depreciation and shows the asset in the assets report.
2. The Depreciation Date Filter
If you fill in both Depreciation Date From and Depreciation Date To, the report displays only the assets that have depreciation within this period, so new assets, assets whose method is No Depreciation, or assets that had no depreciation calculated in the period disappear. Leave the two fields empty to display all assets.
3. The Branch
If the branches app is enabled, the report displays only the assets of the branches you are allowed. Make sure to choose the asset’s branch in the Branch filter, and that you have the permission on this branch.
4. Other Filters in the Report
- Purchase Date From / To: make sure the asset’s purchase date is within the period.
- Currency: choosing a specific currency hides the assets in other currencies, so choose all currencies.
- Status, Category, Location, and Employee: make sure they are on All.
Notes
- Sold, scrapped, or inactive assets appear in the report, but their current value appears as zero.
- The assets report appears within the General Accounting Reports, and it requires enabling the general accounting app and the permission View Own Reports.
