Viewing an Asset
The system allows you to view all data related to a fixed asset on a unified page that includes basic information, depreciation, accounting transactions, operations, and the activity log.
Before You Begin
Make sure you have the permission to view assets in your assigned role.
Steps to Access the Asset Profile
- From the main menu, click “Accounting”, then “Assets”.
- Click on the required asset from the list to navigate to its details page.
Page Content
The asset profile page displays the asset’s name, code, and current status (such as “In Service”) at the top, along with direct links to its related accounting accounts: the asset account, the accumulated depreciation account, and the depreciation expense account.
Information Tab
This tab displays the detailed asset report, including:
- Basic Asset Information: ID number, name, code, remaining quantity, useful life, main account, the cash account used for the purchase, purchase value, current value, in-service date, and purchase date.
- Depreciation Information: Depreciation method, last depreciation date, next depreciation date, depreciation end date, depreciation period, depreciation amount per period, and total depreciation to date.
- Transaction Log: A list of all financial transactions related to the asset, including the date, operation, amount, and balance.
Transactions Tab
Displays all accounting journal entries recorded against the asset account.
Depreciations Tab
Displays a complete log of all depreciation entries applied to the asset, whether automatic or manual.
Asset Operations Tab
Displays a table of the asset’s individual units, if any, including for each unit: the serial number, barcode, description, custody type, the party it’s assigned to, and its status (such as “Not Linked” or “Assigned”).
Activity Log Tab
Displays a chronological log of all actions taken on the asset, such as creation, editing, cloning, and depreciation operations.
Available Actions
The following buttons appear at the top of the asset profile page:
- Edit: Opens the form to edit the asset’s data.
- Clone: Creates a new copy of the asset with most fields pre-filled automatically.
- Print: Prints the asset report.
- PDF: Downloads the asset report as a PDF.
- Add Note/Attachment: Attaches a note or document to the asset’s profile.
- Delete: Permanently deletes the asset.
- Add Manual Depreciation: Records a manual depreciation entry for the asset.
- Write Off: Marks the asset as decommissioned (permanently out of service).
- Sell: Records a sale transaction for the asset.
- Re-evaluate: Adjusts the asset’s current value through a re-evaluation entry.
Notes
- You can navigate between different assets using the arrow buttons at the top of the page.
- The accounting account links (asset account, accumulated depreciation, depreciation expense) are clickable and take you directly to the chart of accounts.
