Editing / Deleting an Automatic Accounting Entry Resulting from a Transaction
Accounting entries in Enerpize come in two types: manual entries that you create yourself, and automatic entries the system generates automatically as a result of a transaction — such as a sales or purchase invoice, a stock voucher, an expense, a receipt, or a return.
An automatic entry is the accounting effect of the transaction, not an independent document, which is why it’s handled differently from a manual entry.
What Can and Can't Be Edited
- When opening an automatic entry for editing, a notice appears at the top of the screen:
- It is not possible to edit the values of the auto created journal entries which are created via other transactions, you can edit the source of the journal.
- Only the debit and credit values, and the entry’s date and number, are locked, since they come from the transaction itself. The fields available for editing are:
- Description
- Attachments
Editing the Entry's Values
The values aren’t edited from the entry, but from the transaction that generated it:
- From the top of the entry’s view screen, click “View Source.”
- The system takes you to the underlying transaction — the invoice, voucher, or receipt.
- Edit the amounts or items in the transaction, then save.
- The accounting entry is updated with the new values.
Deleting an Automatic Entry
The automatic entry cannot be deleted directly. Instead, the transaction that generated it is deleted, and the entry is deleted along with it:
- From the entry’s screen, click “View Source.”
- Verify the transaction and make sure it’s actually the one you want to delete.
- Delete the transaction from its own screen.
Important Notes
- Editing is preferable to deleting. If what you want is to correct an amount, edit the transaction instead of deleting it — deleting removes the transaction and everything linked to it, while editing corrects the entry and keeps the document and its number as they are.
- You’re not deleting an entry, but an entire transaction. Deleting a sales invoice deletes its stock movement, its settlement, and any documents linked to it along with it.
- This doesn’t apply to manual entries — since they aren’t generated from a transaction, their values and deletion are available directly from their own screen.
