Reservation Order Auto Numbering

The “Reservation Order Auto Numbering” page allows you to control the settings and format of the automatic numbering assigned to reservation orders in the system. This page is only available when the “Rental and Unit Management” app is activated in the system.

To access the auto numbering settings page:

  • From the main menu, go to “Settings”.
  • Select “Auto Numbering Settings”.
  • From the side menu, click on “Reservation Order”.

This page gives you full control over the settings below:

  • Next Number: Enter the number that the system will assign to the next reservation order. The system starts numbering automatically from this value when any new reservation order is created.
  • Sequence Format: Select the format to use for generating numbers. Available options include numeric digits, letters, or a combination of both. For example: Numeric digits (0, 1, 2, …).
  • Number of Digits: Set the total number of slots for the sequential number. If the number is shorter than the specified length, zeros are automatically added to the left. For example: if the length is 5 and the current number is 3, it will appear as 00003.
  • Unique: Enable this option to ensure that each number in the sequence is unique and not duplicated in the system.
  • Prefix: Enable this option to define a prefix to be added before the reservation order number. The prefix can be fixed such as INV-001, or variable based on the year or month such as 001-2025 or APR-001.
  • When the prefix is enabled, the following options appear:
  • Prefix Format: Enter a fixed prefix text such as INV, or variable formats such as %Y or %m to be used in reservation order numbers. You can refer to the “Variables Guide to view all available format codes and examples.
  • Prefix Change Options: This option appears only when using a variable prefix. Choose how the system handles numbering when the prefix changes:
    • Continue from the Last Number: Numbering continues sequentially from the last used number regardless of prefix changes. For example: if you start with the prefix Mon and generate Mon-001 and Mon-002, then switch to Tue, the next number will be Tue-003.
    • Create a Separate Serial for Each Prefix: Each prefix has its own independent numbering sequence. For example: Mon-001, Mon-002, and Tue-001, Tue-002. The following Monday, the sequence continues as Mon-003.
    • Start from Beginning: Numbering resets to 1 whenever the prefix changes. For example: if the prefix is Mon with Mon-001 and Mon-002, then switches to Tue, the numbering resets and starts from Tue-001.
