Deactivate Employee Asset

This action allows you to deactivate an employee asset and remove it from operational use while keeping a complete record for audit and tracking purposes. The asset can be reactivated later if needed.

How to Access

  • From the main menu, go to Employees.
  • Click on Employee Assets.
  • From the list: click Actions (…) next to the desired asset, then select View.

Steps to Deactivate an Asset

  • From the asset view screen, click Deactivate Asset.
  • A popup window will appear with the following fields:
    • Date & Time: Specify the date and time of deactivation.
    • Note: Free text field to describe the deactivation — optional.
    • Attachment: Optional.

Supported formats: PDF, DOC, DOCX, JPG, PNG — maximum size 10 MB.

  • Click Save to apply the action, or Cancel to discard.

Notes

  • Upon confirming deactivation:
    • The asset status changes to Inactive.
    • Any current assignment to an employee or storage location is removed.
    • If the asset is linked to an accounting asset, the accounting asset is updated to Not Assigned and marked as Inactive.
    • The deactivated asset cannot be assigned to any employee or storage location.
  • Added notes and attachments will appear in the Notes & Attachments tab on the asset view screen.
  • The action is recorded in both the Asset Movement Log and the Activity Log.
  • The asset view screen is automatically updated with the new status, and all operational actions (such as assignment or sending to maintenance) are disabled.
