Create a New Task

This screen enables authorized users to create a new task and assign it to an employee, allowing work to be tracked and completed within the system. The task can optionally be linked to a module and a specific record, allowing the assignee to navigate directly to the related location in the system to complete the work.

Before You Start

  • Ensure that the Task Management app is enabled. You can enable it by navigating to Settings from the main menu, then opening Apps Manager.
  • You must have both the Add Task and View Task permissions to access this screen.
  • Every task you create appears immediately in the Task List, where it becomes available for tracking, status updates, and collaboration.

Steps

  1. From the main menu, click Task Management.
  2. Click Tasks.
  3. Click Add Task.
  4. Enter the following information:
    • Title (required): Enter the task title.
    • Type (required): Select the task type.
    • Priority (required): Select the task priority. Medium is selected by default.
    • Assignee (required): Select the employee responsible for the task.
    • Code (required): Generated automatically by the system.
    • Due Date (optional): Select the task due date.
    • Link to Module (optional): Select the target module for the task.
    • Record (optional): Select a record if you want to link the task to a specific record.
    • Description (optional): Enter a task description.
    • Attachments (optional): Add attachments, if applicable.
  5. Click Save to create the task.

How the System Works

  • The Code is generated automatically based on the auto-numbering settings configured in the system. Users cannot enter it manually.
  • The Assignee list displays only active employees, along with each employee’s name and department. Tasks cannot be assigned to inactive employees.
  • The Due Date cannot be earlier than the task creation date. It is used to identify overdue tasks.
  • The Link to Module list is populated based on the Linked Module Configuration settings. Only modules enabled on that screen are displayed.
  • When a target module is selected and a record is specified, the task contains a drop-down link that directs users to that record within the selected module.
  • When the task is saved successfully:
    • The task is created and appears in the Task List.
    • The system records the task creation in the Activity Log.
    • If an assignee is selected, the system records the assignment in the Task History.

Validation Rules

  • If you leave the Title field empty, the system displays the following message: “Task title is required.”
  • If you do not select an Assignee, the system displays the following message: “Assignee must be selected.”
  • If the Title exceeds the maximum character limit, the system displays the following message: “Task title cannot exceed 150 characters.”
  • If you select a Due Date earlier than today, the system displays the following message: “Due date cannot be earlier than today.”
