What Happens If No Approvers Remain at an Approval Level?

The system removes the requester from the approvers at every approval level, even if their role (such as Department Managers, or being selected by name through Other Employees) makes them an approver. If no approver is left at a level, the request does not get stuck there:

  • The system skips that level, and the request moves to the next level.
  • If there is no next level, the request status becomes Approved.
  • In Single Approval: if the only approver is the requester, the request status becomes Approved.

The request is approved once all its levels are approved or skipped.

Examples: Ahmed is a department manager, and his direct manager is Sara.

Approval configuration What happens Request History
Multi-Cycle Approval: Approval Level 1 = Direct Manager, Approval Level 2 = Department Managers The request goes to Sara at Level 1. After she approves, Level 2 resolves to Ahmed himself, so the system removes him and skips the level. The request status becomes Approved. Only Sara’s approval line.
Single Approval: approver = Department Managers The only approver is Ahmed himself, so the system removes him and no other approver is left. The request status becomes Approved right away. Auto-Approved by System with the reason.

🛈

Notes:

  • If all levels are skipped because the requester was the only approver at each of them, the request history shows Auto-Approved by System with the reason. If another person approved at any level, only their approval line appears.
  • This rule applies whether Allow Higher-Level Approvers to Act Early is on or off.
