Why Was My Request Approved Automatically by the System?

The system approves your request automatically when you are the only approver at every approval level. The system never asks an employee to approve their own request, so it removes the requester from the approvers at each level and skips any level that has no other approver left. If all levels are skipped, the request status becomes Approved.

When does this happen?

  • You are a department manager, and the approver in the approval configuration is Department Managers.
  • You are selected by name as an approver through Other Employees.
  • In Single Approval: you are the only approver.

What appears in the request history?

Case What appears in Request History
No other person approved at any level Auto-Approved by System, followed by the reason: “Every approver was the same employee who submitted the request, and no other approver was available.”
Another person approved at one level or more Only the usual approval line with the approver’s name (Approved by [Name]). The auto-approval line does not appear.

Example: Mona is the HR department manager. The approval configuration uses Single Approval, and the approver is Department Managers. When Mona submits a leave application for herself, the only approver is Mona, so the system removes her and no other approver is left. The request status becomes Approved, and the history shows Auto-Approved by System with the reason.

Notes:

  • This rule applies whether Allow Higher-Level Approvers to Act Early is on or off.
  • If you want someone else to review a department manager’s requests, add another approver to the approval configuration from Attendance > Settings > Approval Configurations.
