Sending Login Details to Multiple Employees at Once

This guide explains how to send login details to a group of employees at once from the employees list, instead of sending them to each employee individually. It also covers what happens to employee accounts after sending, how to follow the progress of the process, and how to find out why sending failed for any employee.

🛈

Note: Login details are sent only to employees who are allowed to access the system, that is, employees with the Allow access to the system option enabled. Sending fails for employees who are not allowed to log in, and the failure reason appears next to each of them.

Sending Login Details to Multiple Employees at Once

  1. From the main menu, click Employees, then Manage Employees.
  2. Use the search or filters to display the employees you need, such as filtering by Status, Role, or Type.
  3. Select the employees using the checkbox next to each employee, or click the arrow next to the selection checkbox at the top of the list and choose All (Current Page) to select the employees on the displayed page, or All Filtered (All Pages) to select all employees matching the filters.
  4. Click the Actions button at the top of the list, then choose Send Login Details.
  5. Review the confirmation message, then click Yes.

You are then taken to the Send Login Details page, and the system starts sending to the selected employees one after another. To send login details to a single employee only, click the actions menu (…) next to the employee in the list and choose Send Login Details.

🛈

Warning: Before execution, the following message appears: A new password will be generated and emailed to each selected employee, and their current sessions will be signed out. Do not refresh the progress page — it would run the whole batch again. Continue? So make sure you select only the employees you need, and do not refresh the page while sending.

What Happens After Sending?

Item What Happens
Password The system generates a new password for each employee the details were sent to successfully, and the previous password stops working.
Email The new login details are sent to the employee’s registered email address.
Current sessions The employee is signed out of their open sessions and needs to log in again with the new details.
Employees not allowed to log in Sending fails for them and their details do not change, while sending continues for the rest of the selected employees.

Following the Sending Progress and Results

The Send Login Details page shows the progress of the process during execution, then the sending result for each employee:

  • Sent successfully: A ✅ mark appears next to the employee, and the login details have been sent to their email.
  • Sending failed: The failure reason appears next to the employee, such as the employee not being allowed to access the system.

After fixing the failure reason, you can go back to Manage Employees and resend to the employees whose sending failed only.

FAQs

Does the employee’s password change when login details are sent?

Yes. The system generates a new password and sends it to the employee’s email, and the employee is signed out of their current sessions, so the previous password no longer works after sending.

Why did sending fail for some employees?

The failure reason appears next to each employee on the progress page. The most common reason is that the employee is not allowed to access the system. Fix the reason, then resend to those employees only.

Does sending stop if it fails for one of the employees?

No. Sending continues for the rest of the selected employees, and the result of each employee is shown separately.

Can I send login details to all employees at once?

Yes. Click the arrow next to the selection checkbox and choose All Filtered (All Pages), then choose Send Login Details from Actions. We recommend filtering first to select only the employees you need, because all their passwords will change.

What happens if I refresh the progress page while sending?

The whole process runs again, and employees receive yet another new password. So wait until the process is complete before leaving or refreshing the page.
