What impact does a payment certificate have on project invoices?

Once a payment certificate’s status is changed to “Invoiced,” the system automatically generates a sales invoice with the same data as the payment certificate, and it’s added to the “Invoices” tab on the project view screen, as well as appearing in the general “Manage Invoices” screen within the Sales module.

Data Automatically Populated on the Invoice

  • Client and Currency: taken from the contract linked to the payment certificate, and can’t be edited.
  • Invoice Lines: include the work items listed on the payment certificate, with the unit price, the new quantity entered on the payment certificate, and any associated taxes.
  • Invoice Summary: includes the advance payment recovery value (if any) and the net payable amount.
  • Retention: automatically added to the invoice’s “Retention” field, linked to a “[Client] Clients Retention” account automatically created under Current Assets → Accounts Receivable.

Linking Between the Payment Certificate and the Invoice

  • The invoice number appears as a hyperlink at the top of the payment certificate’s view screen, once the invoice is saved.
  • If there’s an advance payment linked to the contract with a sufficient unsettled balance, it’s automatically distributed onto the resulting invoice for the value of the advance payment recovery calculated on the payment certificate.

Restrictions on the Invoice After Creation

To ensure no mismatch occurs between the payment certificate’s data and the resulting invoice:

  • The invoice’s line items can’t be edited (quantity, unit price, taxes, or the item itself).
  • Lines can’t be added or removed from the invoice.
  • Only the following can be edited: cost centers, salesperson, or adding adjustments/discounts (calculated after the retention deduction, without affecting its value).
  • The retention value itself can’t be edited; only the retention account can be changed if the routing setting is set to “Specify per Each.”
  • The retention value also appears within the invoice summary on the printable version.
