Viewing the Contract File

This screen allows the system user to view the details of a contract linked to a project, track it, and manage it.

Before You Begin

  • You must have the “View All Construction Contracts” permission or the “View His Own (Created) Construction Contracts” permission to be able to view the contract; without either, the “View” button is completely hidden.
  • You must have the “Approve & Reject Construction Contracts” permission to be able to change the contract’s status to “Active” or “Canceled”; without it, these two buttons specifically are hidden.

Steps to View the Contract

  1. From the sidebar menu, click on “Construction,” then go to “Contracts.”
  2. Click the “View” button for any contract.

How the System Works

Page Header:

  • The contract’s title and code.
  • A colored badge next to the title showing the contract’s current status: Draft, Active, Closed, or Canceled.
  • A dynamic status-change button appears at the top left of the screen, and its text and function change based on the contract’s current status:
    • In “Draft” status: only the “Issue” button appears, to change the status to “Active.”
    • In “Active” status: the “Close” button appears, to change the status to “Closed.”
    • In “Closed” or “Canceled” status: the “Reactivate” button appears, to change the status to “Active.”

Main Actions Row:

  • Edit: to edit the contract’s data.
  • Printables: a dropdown menu with printing and export options for the contract.
  • Send Email: to send the contract to the client.
  • Advance Payments: a dropdown menu with two options: “Add Advance Payment” or “Assign Advance Payment.”
  • Cancel: only appears in “Active” status, to change the status to “Canceled.”
  • Delete: to delete the contract entirely.

Tabs

  • Contract: displays a preview of the contract, including: start/end date, contract title, project, client, contract value, advance payment, retention, recovery plan, Tax 1/2, and the Bill of Quantities (item with support for sub-items and work items, quantity, sale rate, subtotal and taxes, total), along with a “Total” line.
  • Details: displays the contract’s information: start/end date, duration, client (link), project (link), advance payment, contract value, cost sheet number (link), construction quotation number (link), recovery plan, retention discount, Tax 1/2, description, and attachments.
  • Work Items (count): displays a table including the work item (with support for sub-items and work items), Tender, quantity, unit cost, cost, profit, price, variance, completion percentage (progress bar), and the status — editable directly (inline) from a dropdown within the table itself, with four statuses: Waiting, In Progress, Completed, or Canceled.
  • Invoices (count): only appears when there are invoices or payments actually linked to the contract. Displays a card for each invoice/payment including: the amount, unsettled balance, status badge, event description, date and time, payment number, client, and user, with a “…” button for actions (View, Edit, PDF, Print, Email to Client, Add Payment, Delete, or Delete from Contract only).
  • Activity Log: displays the actions and operations performed on the contract, showing the time and date of the operation, the responsible user, and the branch, with edits highlighted by their new and old values, and the ability to filter by time period, actor, or action type.
