Importing Work Items to a Cost Sheet from Bids/Projects
The system allows you to import work items into the Bill of Quantities (BOQ) directly from work item templates previously defined on the site, or from earlier cost sheets created for the same bid or project, saving you the time of filling out the table manually. This guide explains the prerequisites for importing, the steps to access the import window, the content of each import tab, and the system’s behavior after confirming the operation.
Prerequisites
- The selected record (bid or project) must have previously created cost sheets.
- The site must have previously defined work item templates.
How to Access the Import Window
- From the main menu, click on “Construction”, then click on “Bids” or “Projects”.
- Click the “View” action for any record that has previously created cost sheets.
- Click the “Create Cost Sheet” button.
- In the Bill of Quantities table, click the “Select Work Item” dropdown.
- Click the “+ Import Work Items” button shown below the list (in blue) to open the import window.
The window contains two tabs: “Work Item Templates” and “Cost Sheets”.
Note: After confirming the import from either tab, the imported work items are added at the same level, and under the same parent item as the original work item you started the import from.
Work Item Templates Tab
Available Filters
- Work Item (optional): a dropdown showing work items that have a work item template.
- Search Work Item Templates (optional): a text field for searching by template title or code.
Filter results appear only after clicking the “Search” button, and you can click “Clear All” at any time to reset the search criteria, or “Hide” to collapse the search and filters section.
Table Content
The table shows active templates only, 20 records per page, with pagination using the (<) (>) buttons. You can sort the table ascending or descending by clicking the “Sort” button shown above the “Template” column.
Table Columns
- Template: shows the template’s photo, title, and number.
- Work Item: shows the photo, title, and code of the work item linked to the template.
- A checkbox to select one or more templates to import at once.
Window Actions
- Cancel: closes the window and discards your selections.
- Import: adds the selected work item(s) to the cost sheet with a default quantity of 1.
Note: If you later edit the quantity in the Bill of Quantities table, the quantities of the item’s components (materials) are adjusted proportionally.
Cost Sheets Tab
Available Filters
- Cost Sheet (optional): a dropdown showing the cost sheet numbers belonging to the same bid or project.
- Work Item (optional): a dropdown showing work items.
- Min Cost and Max Cost (optional): range fields letting you set a minimum and maximum to filter work items by their cost.
Filter results appear only after clicking the “Search” button, and you can click “Clear All” at any time to reset the search criteria.
State Before Selecting a Cost Sheet
Before selecting a “Cost Sheet” from the dropdown, no data table appears, and the message “No cost sheet selected yet — select a cost sheet to view its work items” is displayed.
Table Content (After Selecting a Cost Sheet)
The table shows work items belonging only to the same bid or project. It can be sorted ascending or descending by clicking any column. The table columns are:
- Sheet No.: shows the cost sheet’s code.
- Work Item: shows the title and code of the work item within the cost sheet.
- Unit Cost: shows the unit cost of the work item in the cost sheet.
- Total Cost: shows the total cost of the work item in the cost sheet.
Window Actions
- Cancel: closes the window and discards your selections.
- Import: adds the selected work item(s) to the cost sheet using the same quantity found in the original cost sheet they were imported from.
Note: If you later edit the quantity in the Bill of Quantities table, the quantities of the item’s components (materials) are adjusted proportionally.
System Behavior After Importing
- If the same work item is imported twice within the same bid, the system updates the item’s quantity instead of adding it as a duplicate line.
- A template is imported by default with a quantity of 1. When importing a work item from a work item template, the system calculates the unit consumption rate for materials using the following formula:
Item Quantity = Work Item Quantity × Item’s Consumption Rate per Unit
- When the quantity is later edited in the Bill of Quantities (BOQ), the quantities of the work item’s components are automatically updated based on each item’s consumption rate per unit.
