Converting a Bid to a Project
This feature allows the system user to convert a bid whose status is “Awarded” into an actual project, to start working on it directly.
Before You Begin
- You must have the “Add Projects” permission to be able to convert a bid to a project.
- The bid must be in “Awarded” status and not already converted into a project. This status is only reached automatically once the quotation linked to the bid is approved — and only then does the “Convert to Project” button appear.
Steps to Convert the Bid to a Project
- From the sidebar menu, click on “Construction,” then go to “Bids.”
- Click the “View” button for any bid whose status is “Awarded” and not yet converted into a project.
- Click the main action button “Convert to Project” at the top of the screen.
- You’re automatically redirected to a new project creation form, with the bid automatically pre-selected in the “Bid” field.
- Fill in the rest of the required form data.
- Click the “Save” button.
- You’re automatically redirected to the view screen of the newly created project.
- Review the bid details, cost sheet, and quotation (all available within the project view screen).
How the System Works
- The same client and bid are automatically set on the project and cannot be edited.
- The bid’s information appears under the “Bid Details” tab in the project view screen.
- Cost sheets linked to the bid appear under the “Cost Sheets” tab in the project view screen.
- Quotations linked to the bid appear under the “Quotations” tab in the project view screen.
- The “Linked to Cost Sheet” and “Linked to Quotation” fields are automatically updated to read: “Project, [project title] #[code].”
Validation Rules
- A bid that has already been converted into a project cannot be edited or deleted. When attempting to do so, the message “‘[bid title]’ #[code] cannot be edited/deleted because it has been converted into a project” appears.
