Work Items in the Contract

The Work Items tab in a construction contract shows all the contract tenders, work items, and their materials, with quantities, prices, cost, profit, variance, progress, and status, so you can follow up on the contract execution. From the same tab, you can change a work item status, export items to Excel, and create purchase documents for materials.

Before You Start

  • You have the View All Construction Contracts or View His Own Construction Contracts permission.
  • The contract status is Active; the Work Items tab appears only in an active contract.
  • To view cost data and materials, the contract must be linked to a Cost Sheet.

Opening the Work Items

  1. From the main menu, click Construction → Contracts, then open the contract.
  2. Click the Work Items tab. The number of work items appears next to the tab name, such as Work Items (1).

Work Items Structure

The contract items appear in a tree of three levels:

  • Main tender: the top level, grouping sub-tenders or work items under it.
  • Sub-tender (optional): divides the main tender into smaller groups.
  • Work item: the executed work itself, such as electricity or concrete, always under a main tender or a sub-tender.

The Tender column shows the main tender or the direct sub-tender the work item belongs to.

Work Items Table Columns

Column What it shows
Item The work item or material name and number.
Tender The main tender or direct sub-tender the work item belongs to.
Quantity The work item quantity in the contract and its unit, such as 1 m2.
Unit Cost The unit price from the cost sheet.
Cost The total item cost: unit cost × quantity.
Profit The profit percentage on the work item.
Price The work item total price including tax. When you hover over the cell, Billed appears, showing the amount billed from payment certificates.
Variance The difference between the expected and actual cost of the executed quantity, with its percentage. Details in the next section.
Progress A bar showing the executed quantity in approved or invoiced payment certificates out of the contract quantity.
Status The work item status, such as In Progress or Completed.

🛈

Note: If the contract is not linked to a cost sheet, a “-” appears in the Unit Cost, Cost, Profit, and Variance columns.

Variance

  • Expected cost = executed quantity × unit cost from the cost sheet.
  • Actual cost = the amounts recorded on the work item cost center.
  • The executed quantity is calculated from approved or invoiced payment certificates.
  • If the actual cost is higher than the expected cost, the variance appears negative in red; otherwise, it appears in gray.
  • When you hover over the variance cell, Expected Cost/Actual Cost appears.

Example: If the expected cost is 10,000 and the actual cost is 8,000, the variance is positive at 2,000 (20%). If the actual cost is 12,000, the variance is negative at 2,000 (20%).

Work Item Statuses

Status When it appears
Waiting No quantity of the work item has been executed in payment certificates.
In Progress The executed quantity is less than the contract quantity.
Completed The executed quantity reached or exceeded the contract quantity.
Cancelled The work item was not completed and the contract was cancelled.
  • When the contract is cancelled, work items with the Waiting or In Progress status change to Cancelled automatically, even if you changed their status manually before.
  • To change a work item status manually, click the status in the table and choose the new status; the message Status Updated Successfully. appears. This requires the Edit & Delete All Construction Contracts or Edit & Delete His Own Construction Contracts permission.

Viewing Materials inside a Work Item

  • If the work item has materials in the cost sheet, an arrow appears next to its name. Click it to show or hide the materials. The arrow does not appear for an item without materials.
  • Each material appears in a line under the work item with its name and number, with its quantity and unit.

Selecting Items and Available Actions

Select one or more items using the checkbox next to each item. Selecting a work item selects its materials. A bar appears below the table with the number of selected items, such as 2 selected, and the following actions:

Action What it does
Export to Excel Exports the selected items to an Excel file.
Purchase Options Creates a purchase document for the selected materials.
Expand Group Shows the contents of the selected items.
Collapse Group Hides the contents of the selected items.

Exporting to Excel

  • The file has the same columns as the table, in the same item order as the table.
  • A Type column is added at the start of the file showing the line type: work item or material, along with a Unit column.
  • A Billed column is added after the Price column, and Expected Cost and Actual Cost columns after the Variance column.
  • Selected materials appear in the file directly under their work item.

Purchase Options

Click Purchase Options and choose the document type: Purchase Request, Quotation Request, Purchase Quotation, Purchase Order, or Purchase Invoice. The add page opens with the selected materials, their quantities, and units.

🛈

Note: The Purchase Options button appears only if the contract is linked to a cost sheet, the Purchases app is enabled, you have permission to add at least one purchase document, and the selected items include materials, not services only.
