Viewing Invoices List in the Account

The system allows you to browse all sales invoices recorded in your account from a single screen, with advanced search and filter tools, plus quick actions you can apply to selected invoices. This guide explains the steps to access the invoices list, the content of the toolbar, and the available search and filter tools.

Steps to View the Invoices List

  • Click on “Sales” from the main menu.
  • Click on “Manage Invoices”.
  • The program displays a list of invoices in the account.

Available Actions

Check the box at the top of the page to select the entire list of invoices and choose from:

  • All (Current Page): selecting all invoices on the current page.
  • All Filtered (All Pages): selecting all invoices on all pages.

Use the “Actions” menu to apply a set of quick actions to the selected invoice list. For more details, refer to the “Actions on Invoice List” guide.

Use the navigation buttons (<) (>) to switch between the display pages of the invoice lists.

Click on the icon to access the “Sales Reports” page.

Import Invoices: this icon allows you to upload invoices in multiple formats (such as Excel or CSV) to import them directly into the system and record them automatically.

Invoice Settings: this icon gives you access to the account’s invoice settings, such as enabling additional fields, editing templates, and configuring account and cost center rules.

Incomplete Invoices: this icon shows all invoices that have been started but not yet saved or issued, making it easy to quickly resume them.

Add Advance Payment/Electronic Receipt:

  • For Saudi Arabia accounts: you can record an advance payment from the client to be automatically deducted from the invoice total, with journal entries updated accordingly.
  • For Egypt accounts: you can record payment receipts related to the client directly against invoices, making it easier to track and reconcile with financial accounts.

Click on the “Appointments” button to display a list of appointments related to the invoices.

Click on the “New Invoice” button to start creating a new invoice on the account.

Search and Filters Section

The search tools below can be used to quickly access the required invoice.

Advanced Search:

Click on the “Advanced Search” button to access more professional search and filtering tools, with the ability to specify a wide range of criteria, such as:

  • Client: search by the client’s name or linked account.
  • Invoice Number: search using a specific invoice number.
  • Status: filter invoices by their status (paid, unpaid, partially paid, etc.).
  • Contains Item: search for invoices containing a specific product or service.
  • Currency: select invoices by currency type.
  • Total Greater Than / Less Than: filter invoices by total amount.
  • Payment Status: filter invoices by payment status.
  • Date: search by invoice date.
  • Due Date: search by the invoice’s due date.
  • Source: search by the invoice’s source (such as sales, purchases, etc.).
  • Custom Field: use any custom fields added to invoices.
  • Creation Date: search by the date the invoice was recorded in the system.
  • Invoice Type: filter by invoice type (sales, purchase, return, etc.).
  • Client Type: select the client type, whether All / Business / Individual.
  • Delivery Status: search by the delivery status of the goods or service.
  • Added By: search by the user who created the invoice.
  • Sales Representative: filter invoices by the responsible sales representative.
  • Session: search by the work session recorded in the system.
  • Shipping Options: filter invoices by the specified shipping method.
  • Order Source: search by the original order source (online store, app, etc.).

Note: You can combine multiple search criteria at once for precise results, and advanced search settings can be saved for future use.

At the top of the invoices list, click on “Sort By” and choose from several options to sort the invoice list, such as (Client, Created Date, Number, Payment Status, Date).

List Display

Quick Status Filter Bar

A bar appears at the top of the list letting you quickly filter by invoice status, including: All, Draft, Unpaid, Due, Overdue, Overpaid.

Details of Each Record in the List

Each record in the invoices list displays the following:

  • Amount: the invoice’s total value, with a “Refunded” value shown below it if a refund is linked to the invoice.
  • Payment Status: shown as a colored badge, with an additional “Refunded” badge when applicable.
  • Status: shows the invoice’s status.
  • Creation Date and Time: shown below the status, with a clock icon.
  • Invoice Number and Date: shown at the top of the record.
  • Client: the name of the client linked to the invoice, along with their code.
  • Created By: shows the name of the user who created the invoice.

Record Actions

The three-dot (⋯) menu appears next to each record to perform the available actions on it.

Electronic Invoice Status Column

If e-invoicing is activated on the account, an additional “Electronic Invoice Status” column appears within the list, letting you track the status of each invoice submitted to the Zakat, Tax and Customs Authority (ZATCA) directly from the list, without needing to open each invoice individually.

Invalid E-Invoices Banner

If there are invoices submitted to the Zakat, Tax and Customs Authority (ZATCA) within the last 3 days whose Electronic Invoice Status is “Invalid”, a banner appears at the top of the invoice list screen showing the count of these invoices, with a message similar to:

“You have {N} invalid invoice(s) submitted to ZATCA in the last 3 days.”

  • This banner appears only when at least one invoice meets this condition; it is automatically hidden when the count is zero.
  • The banner includes a “View Invoices” link, and clicking it automatically filters the invoice list to show only the matching invoices (Electronic Invoice Status = Invalid, and ZATCA submission date within the last 3 days).
