Client Data Requirements for E-Invoicing (ZATCA)

Before sending any invoice to the Zakat, Tax and Customs Authority (ZATCA), the system automatically verifies that the client data meets the required criteria based on the client type and nationality. This guide explains these requirements, what blocks submission, and how the system ensures data accuracy before validation.

Part 1: Verification Requirements by Client Type

Business Clients

The system always requires the Business Name and Client Country, plus at least one of the following identifiers:

  • VAT Registration Number: Accepted on its own without any other identifier.
  • Commercial Registration / Unified Number (C.R): Also accepted on its own.

Both identifiers are not required simultaneously — a business client with only a VAT number or only a C.R number will not be blocked from submission.

Individual (Personal) Clients

Individual clients are not required to have a C.R or a VAT registration number. Either of the following identifiers is accepted if available — both are optional:

  • National ID: 10 digits.
  • Tax Identification Number (TIN): 15 digits.

If the National ID in the client record conflicts with a National ID entered at the invoice level, the invoice-level value takes precedence.

Foreign Clients (outside Saudi Arabia)

Saudi national address requirements do not apply to clients outside Saudi Arabia — street, city, and country are sufficient. Foreign individuals are also fully exempt from C.R requirements.

Part 2: Address Requirements

Building Number and Postal Code are no longer mandatory — their absence does not block submission. However, if either field is provided it is format-validated, and an incorrect format may still block submission.

The system automatically cleans client addresses before submission by removing hidden formatting characters and unusual spacing, preventing otherwise valid addresses from being rejected due to minor technical issues.

Part 3: Verification Order Before Submission

The system follows this sequence before every submission:

  1. Verify that the client type (Business or Personal) is selected.
  2. Verify the required identifier based on the client type.
  3. Verify the format of address fields when provided, skipping non-mandatory empty fields.
  4. Verify existing edit restrictions (credit notes, refunds, installments, closed periods, POS shifts).
  5. Submit to ZATCA.

Part 4: Completing Missing Client Data

POS Invoices: Always saved even when client data required for ZATCA is incomplete — when missing data is detected, a shortcut appears on the invoice that opens the client edit page (carrying the invoice along) so the user can complete the details and resubmit.

Non-POS Invoices: The user is directed to the client panel embedded inline within the invoice to complete the missing data.

Part 5: Protecting Validated Invoices from Modification

Once an invoice has been validated and accepted by ZATCA, the system protects the client identification data linked to it from any edits that would conflict with what the authority has already accepted.

Part 6: ZATCA Warnings

When an invoice is accepted with warnings, the warnings are displayed directly to the user in both Arabic and English with a clear note that the invoice is valid and accepted and that these warnings originate from the ZATCA portal and are not errors from Enerpize. Only warnings issued from 12 July 2026 onward are displayed.

Part 7: Bulk Import

Bulk import operations for clients and invoices apply the same validation rules — C.R, VAT number, and National ID are all validated according to the client type. Records that fail validation are not submitted to ZATCA, while valid records are submitted normally.
