Viewing and Searching the Estimates List

The system allows you to view all estimates in a unified list with the ability to search, filter, and sort for quick access to any estimate.

Before You Begin

  • Make sure estimates are enabled first through Sales Settings.
  • Make sure you have the permission to view estimates under the Sales permissions in your role.

Steps to View the Estimates List

  1. From the main menu click “Sales“.
  2. Click “Estimates“.
  3. A list of all estimates appears sorted from newest to oldest.

List Elements

Each row in the list displays the following information:

  • Estimate Number and Date: The automatic serial number and the estimate date.
  • Client: The client’s name and number with a link to navigate directly to their profile.
  • Creation Date: The date and time the estimate was created and the creating user.
  • Total: The estimate value in the account currency.
  • Status: The current estimate status — Open, Sent, Viewed, Replied, Approved, Converted to Invoice, Draft.

Search and Filter

The basic filters appear directly at the top of the list:

  • Client: Search by client name, email, or phone number.
  • Estimate Number: Search by a specific estimate number.
  • Status: Filter by the follow-up status assigned to the estimate.

To view additional filters click Advanced Search:

  • Currency: Filter by estimate currency.
  • Total Greater Than / Less Than: Set a value range.
  • Payment Status: Open, Sent, Viewed, Replied, Approved, Converted to Invoice, Draft.
  • Date: Set an estimate date range or choose from ready-made options (Last Month, Last Year).
  • Creation Date: Set a date range for when the record was created in the system.
  • Contains Item: Search by products or services within the estimates.
  • Customer Type: Individual or commercial.
  • Order Source: Filter by estimate channel or source.
  • Added By: Filter by the creating user.
  • Sales Representative: Filter by the assigned sales representative.

After selecting the filters click “Search” to apply them, or click “Clear Filter” to clear all filters and return to the full view.

Sorting Results

Click the “Sort By” button at the top left of the list to sort by:

  • Client: Ascending alphabetical order.
  • Creation Date: Descending order.
  • Number: Ascending numerical order.
  • Payment Status: Ascending order.
  • Date: Descending order.

Available Actions on Each Estimate

Click the ··· icon next to any estimate to access the following actions:

  • View: Open the estimate details page.
  • Edit: Edit the estimate details.
  • Send to Client: Send the estimate to the customer via email.
  • PDF: Download the estimate as a PDF.
  • Image: View the estimate as a JPEG image.
  • Copy: Create a new copy of the estimate with the same data.
  • Delete: Permanently delete the estimate.

Bulk Actions

You can select more than one estimate at once using the checkboxes then execute the following bulk actions from the actions menu:

  • Delete: Delete the selected estimates in bulk.
  • Print PDF: Download a PDF for all selected estimates in a single file.
  • Export: Export the selected estimates to an Excel file.

To select all click the checkbox in the list header and choose:

  • All (Current Page): Select only the records on the visible page.
  • All (All Pages): Select all records matching the selected filters.

Notes

  • Clicking on the estimate number or anywhere in the row takes you to the estimate details page.
  • Clicking on the customer name takes you to the customer profile.
  • The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
