Displaying the Total Products Sales Report

The Total POS Products Sales report shows every product sold from the point of sale, with the quantity sold, the quantity returned, the net quantity and the values. This guide explains how to view and filter the report, and how to find the number of items sold from each point of sale and the number of items that have refunds.

🛈

Note: Opening POS reports requires the View All Sessions or View His Sessions permission. Without either of them, the message You are not allowed to access this page appears. Set these from Roles.

View the report

  1. From the main menu, click Point of Sales, then POS Reports.
  2. In the POS Sales-Transactions section, click View next to Total POS Products Sales. When it first opens, the report shows the sales of all sessions without filtering.
  3. Set the period in Date From and Date To.
  4. To filter the report to a specific point of sale, choose the device in the Pos Shift Device field.
  5. Adjust the other filters as needed, then click Show Report.
  • To print, click Print. To export, click Export and choose Export to CSV, Export to Excel or Export to PDF.
  • To clear the filters, click Reset.

Number of items per point of sale and number of refunded items

The report shows each product on one line and doesn’t split the results by point of sale in a single table. So view the report for each point of sale separately:

  1. Choose the first POS device in Pos Shift Device, set the period, then click Show Report.
  2. The number of different items sold from this point of sale = the number of lines in the report, since each line is one item.
  3. The number of units sold appears in the totals row under the Sales column, and the net units after refunds under the Net column.
  4. The items that have refunds are the lines with a value greater than zero in the Refunds column. To show them first, choose Refund Descending in Order By, then Show Report. The number of refunded units is in the totals row under Refunds.
  5. Repeat the steps for each device. To count the lines easily, export each report to Excel.

Example: the report for the “Cashier 1” device for March:

Name Sales Refunds Net
Product A 20 2 18
Product B 15 0 15
Product C 5 1 4
Totals 40 3 37

“Cashier 1” sold 3 items totaling 40 units, with refunds on 2 items (Product A and Product C) totaling 3 units, for a net of 37 units.

Refunds and credit notes

The Refunds column counts only the refund receipts recorded from the point of sale, and doesn’t count credit notes:

Document Is it created from POS? Does it appear in the report?
Refund Receipt (POS refund) Yes, from Refund on the selling screen. Yes, in the Refunds column.
Credit Note No, it’s created from the invoices screen only. No.

So if the question is about items that have a credit note, what this means in POS is refunded items (the Refunds column). For credit notes recorded from the invoices screen, review them in Credit Notes.

Rules and restrictions

  • The report counts only sales invoices and refund receipts recorded from POS sessions. Invoices added from the invoices screen and credit notes aren’t included.
  • A refund is counted on the session and point of sale it was recorded from, even if the original invoice is from another session.
  • The period is based on the session opening date, so invoices in a session opened before the start of the period don’t appear, even if the invoice date is within the period.
  • The report doesn’t split results by point of sale; view it once per device.
  • It doesn’t show the number of items as a ready figure: the number of items = the number of lines. The Subtotal and Totals rows add up quantities and values, not the number of items.
  • The report is view-only and doesn’t change any invoice or stock quantity.

Related cases and settings

  • POS devices: Pos Shift Device lists the devices registered in POS Devices, so give each point of sale a device with a clear name.
  • Branches: a Branch filter and column appear, and the product appears on a separate line for each branch it was sold from, so its name may repeat.
  • Multiple currencies: if you have sessions in more than one currency, choose All Separated to show a table for each currency.
  • Deleted products: their sales remain in the report, and their line may appear without a name.

FAQ

How do I find the number of items per point of sale and the number of items that have a credit note?

From Total POS Products Sales: choose the point of sale in Pos Shift Device, set the period, then Show Report. The number of lines = the number of items sold, and the refunded items are the lines where Refunds is greater than zero. Repeat for each point of sale. Details.

Why don’t credit notes appear in the Refunds column?

Because a POS refund is recorded as a refund receipt, and credit notes aren’t created from the POS. Review them in Credit Notes. Details.

Can I view all points of sale in one table split by point of sale?

No. The report combines a product’s sales from all selected devices into one line; view it for each device separately.

Why doesn’t a POS invoice appear even though its date is within the period?

Because the report is based on the session opening date. Widen the period to include the session opening date, or choose the session in Pos Shift ID.

Does the report include sales from the invoices screen?

No, the report is for POS sales only.
