Viewing and Searching the Sales Orders List
The system allows you to view all sales orders in a unified list with the ability to search, filter, and sort for quick access to any order.
Before You Begin
- Make sure sales orders are enabled through Sales Settings.
- Make sure you have the permission to view sales orders under the Sales permissions in your role.
Steps to View the Sales Orders List
- From the main menu click “Sales”.
- Click “Sales Orders“.
- A list of all sales orders appears sorted from newest to oldest.
List Elements
Each row in the list displays the following information:
- Sales Order Number and Date: The automatic serial number and the order date.
- Client: The client’s name and number with a link to navigate directly to their profile.
- Document: Displays the attachments added to the sales order.
- Creation Date: The date and time the order was created and the creating user.
- Total: The sales order value in the account currency.
- Status: The current order status — Open, Invoiced, Cancelled, and others.
Search and Filter
Click Search and Filter to open the filters panel. The basic filters are:
- Sales Order Number: Search by a specific order number.
- Customer: Search by customer name, number, email, or phone.
- Tags: Filter by tags added to the orders.
- Date: Set a date range to filter orders.
- Status: Filter by order status — Open, Invoiced, and others.
- Follow-up Status: Filter by order follow-up status.
To view additional filters click Advanced:
- Customer Type: Commercial or individual.
- Currency: Filter by order currency.
- Added By: Filter by the creating user.
- Sales Representative: Filter by the assigned sales representative.
- Custom Fields: Search within additional field values.
- Contains: Search by products or services within the orders.
- Order Source: Filter by order channel or source.
After selecting the filters click “Search” to apply them, or click “Reset” to clear all filters and return to the full view.
Sorting Results
Click the “Sort” button at the top left of the table to sort by:
- Date: The sales order date.
- Creation Date: The time the record was created in the system.
- Sales Order Number: Ascending numerical order.
Available Actions on Each Sales Order
Click the ··· icon next to any order to access the following actions:
- View: Open the order details page.
- Edit: Edit the order details.
- Delete: Permanently delete the order.
- Copy: Create a new copy of the order with the same data.
- PDF: Download the order as a PDF.
- Print: Print the order directly.
- Send to Client: Send the order to the customer via email.
Bulk Actions
You can select more than one sales order at once using the checkboxes then execute the following bulk actions from the actions menu:
- Delete: Delete the selected orders in bulk.
- Print PDF: Download a PDF for all selected orders in a single file.
- Export: Export the selected orders to an Excel file.
To select all click the checkbox in the table header and choose:
- All (Current Page): Select only the records on the visible page.
- All (All Pages): Select all records matching the selected filters.
Notes
- Clicking on the sales order number or anywhere in the row takes you to the order details page.
- Clicking on the client name takes you to the client profile.
- The total number of results appears at the top of the list. You can navigate between pages using the navigation buttons or by entering the page number directly.
