Mark an Invoice as Delivered on Creation and Set the Delivery Date

Enerpize lets you mark an invoice as delivered to the client at the moment you create it and set the actual Delivery Date, so the outbound stock transaction is recorded on the delivery date and time instead of the invoice creation date. You can also save the invoice without delivery and mark it as delivered later. This guide explains the default delivery setting, how to mark an invoice as delivered when creating it, what happens when you save it without delivery, and how each status affects your stock.

🛈

Note: Delivery options appear on sales invoices only when the Requisitions for Sales Invoices setting is disabled. When it is enabled, all these options are hidden, and products continue to be delivered through requisitions as usual.

Before You Begin

  • Disable Requisitions for Sales Invoices from Inventory Settings.
  • To change the default delivery setting, you need the Edit General Settings permission, which is managed from Manage Employee Roles.
  • To create the invoice, you need the Add New Invoices for All Clients or Add New Invoices for His Clients permission. See Create a Sales Invoice for an explanation of the other invoice fields.

Set the Default Delivery Setting

This setting controls whether the Mark as Delivered checkbox is checked or unchecked by default on every new sales invoice.

  1. Open Sales Settings.
  2. Go to the Inventory Control section.
  3. Turn Mark Sales Invoices as Delivered by Default on or off.
  4. Click Save.
Setting What happens on new invoices
On (default) The Mark as Delivered checkbox is checked, so the invoice is saved as delivered unless you uncheck it.
Off The checkbox is unchecked, so the invoice is saved as undelivered unless you check it.

The setting only controls the default value; you can still change the checkbox on each invoice.

Mark an Invoice as Delivered When Creating It

  1. Open Sales from the side menu, then click Create Invoice.
  2. Enter the invoice, client, and item details as usual.
  3. Below the invoice items and above the Notes/Terms field, click the Delivery tab.
  4. Make sure the Mark as Delivered checkbox is checked.
  5. In the Delivery Date field that appears, keep the current date and time, or change them to the actual delivery date and time.
  6. Save the invoice.

After saving, the system records outbound stock transactions for all product lines on the specified delivery date, and the invoice shows the Delivered status in green next to the payment status.

Example:

You delivered the products to the client on March 10 at 3:00 PM and created the invoice on March 12.
Check Mark as Delivered and enter March 10, 3:00 PM in Delivery Date → the outbound stock transaction is recorded on March 10, 3:00 PM, not on the invoice creation date.

Save an Invoice Without Delivery

If you haven’t delivered the products yet, uncheck Mark as Delivered before saving; the Delivery Date field is hidden. When you save:

  • No outbound stock transaction is recorded, so product balances stay unchanged until delivery.
  • The invoice shows the Undelivered status in red next to the payment status.

How It Works

  • When you save an invoice with Mark as Delivered checked, outbound stock transactions for all product lines are recorded using the Delivery Date value, not the invoice date or the time of saving.
  • When you save with the checkbox unchecked, no stock transaction is recorded and the invoice is saved as Undelivered.
  • The delivery status is independent of the payment status and appears next to it on the invoice: Delivered in green or Undelivered in red.
  • You can edit the invoice regardless of its delivery status.
  • You can create a refund or credit note for the invoice regardless of its delivery status.

Important Notes

  • When Requisitions for Sales Invoices is enabled, all delivery options are hidden from the invoice, and the requisition flow stays unchanged.
  • An undelivered invoice doesn’t deduct products from stock; their balance remains available until delivery is recorded.

FAQs

  • Why don’t I see the “Mark as Delivered” checkbox on the invoice? Because Requisitions for Sales Invoices is enabled. Disable it from Inventory Settings to show the delivery options.
  • Why is the “Mark as Delivered” checkbox checked automatically? Because Mark Sales Invoices as Delivered by Default is turned on. You can uncheck the box on the invoice or turn the setting off from Sales Settings.
  • What’s the difference between the invoice date and the delivery date? The invoice date is when the invoice is issued, while the delivery date is when the outbound stock transaction is recorded. They can differ, for example, when products are delivered two days before the invoice is issued.
  • Why can’t I change the default delivery setting? Because your role doesn’t have the Edit General Settings permission. Contact the account owner.
  • Why wasn’t stock deducted after I saved the invoice? Because the invoice was saved with “Mark as Delivered” unchecked, so its status is Undelivered. Mark it as delivered from the top of the invoice or from the Stock tab.
  • Can I edit a delivered invoice or create a refund for it? Yes. Editing and creating a refund or credit note are available regardless of the delivery status.
